Track expenses and receipts

Record what you spend, give each expense a category, and keep the receipt with it. Upload receipts or forward them by email to Sumqo.

Record an expense

  1. Go to Expenses and click "New Expense".
  2. Pick the vendor (optional) and the Category, for example Office supplies or Fuel.
  3. Enter the date, amount and payment method, plus a reference number if you have one.
  4. Optional: choose which bank or card account paid it under "Paid from account(s)", and add a memo.
  5. Click "Save".
Tip: If you upload bank and card statements, you do not need to type most expenses: add them from Banking → "Review transactions" with one click each.
Note: Do not see Expenses or Receipts in the sidebar? Turn them on in Settings → Modules. A personal workspace starts without them; at home most people work from their statements and keep receipts in Documents.

Attach a receipt to an expense

  1. Open the expense to edit it.
  2. Under Receipts, click "Upload receipt" and choose the photo or PDF.
  3. The receipt stays with the expense, so you can find it at tax time or in an audit.

Upload many receipts at once

  1. Open Receipts in the sidebar (under Expenses) and click "Upload receipts".
  2. Sumqo reads the vendor, date and total of each receipt for you.
  3. Click "Auto-match to expenses" to attach receipts to expenses you already have, by amount and date.
  4. Click "Book all ready" to turn the remaining receipts into new expenses. Possible duplicates are held for you to review.

Forward receipts by email

On the Receipts page, open "Email receipts" to see your workspace's receipt address. Click "Copy", then forward receipts from your own email: they show up on the Receipts page automatically.

Note: Only emails from allowed senders are accepted. Workspace owners can add senders, or click "Rotate address" if the address was shared by mistake.

Keep your list clean

  • Use the receipt filter on the Expenses page to find expenses that still have no receipt.
  • When Sumqo spots expenses that look the same, a "Possible duplicates" button appears so you can merge them.
  • For bills and payments that repeat, click "Recurring" on the Expenses page.
