Back up and restore your workspace

Download one file with every record, setting and uploaded file in your workspace, and restore it later from Settings → Import / Export.

What a backup is

A full backup is one ZIP file with every record in your books, your settings and your uploaded files: sales, purchases, banking, accounting, people and time, taxes and documents, your logo, receipts and statements.

Left out on purpose: bank, payment and QuickBooks connections, passwords, API keys and other secrets, users and sign-ins, printed checks, and logs.

Make a backup

  1. Go to Settings → Import / Export and find the "Full backup" card.
  2. Click "Back up everything" and confirm it is you.
  3. The backup is built in the background and can take a few minutes. You can leave the page; the download also shows under Activity (the bell at the top).
  4. When it is ready, click the Download link to save the file. The link works for a limited time; if it expires, click "Get a fresh link".
Warning: A backup holds your whole business. Keep the file somewhere safe and private, like an encrypted drive, and never email it.

Restore a backup

Go to Settings → Import / Export and, under "Import from a file", choose your backup ZIP. What happens next depends on the size of the file.

  • Up to 4 MB: Sumqo shows a summary under "Ready to restore". Check it and click "Restore backup".
  • Larger than 4 MB: Sumqo asks "Restore this backup?". Click "Upload and restore", keep the page open while the file uploads, then confirm it is you.

Either way, the restore runs in the background. Follow it on the page or under Activity (the bell at the top). If you cancel the "confirm it is you" step, the file stays uploaded: click "Start the restore" to try again without uploading it again.

Tip: Restoring is safe to repeat and never duplicates data. After a restore, reconnect your bank, payment and QuickBooks connections.

Who can back up

Taking a full copy of the workspace is a sensitive permission. If you do not see the button, ask a workspace owner.
